Execution of a Successful Event

The following list will assist you in identifying key planning dates along with a schedule of reminders that will ensure even the smallest of details will be addressed so that your event is a success. Our event team will work with you so that no detail is left unattended.

Contract Execution:
- Sign and return event contract with required deposit
- Decide on prizes – golf shop purchases, customized accessories and/or apparel
- Confirm format – Texas scramble, own ball, alternate shot, …
- Confirm contests – longest drive, closest to the pin, hole-in-one, share the wealth, …
- Confirm Hole in One prize(s) and applicable insurance coverage
- Confirm welcome package components and provide logo for printing
- Confirm rules sheet, scoring format, tee decks
- Confirm hotel arrangements, transportation requirements, 3rd party reservations

21 – 30 Days Before Event
- Confirm final numbers and event charges (no reductions after this point)
- Finalize prize requirements from the golf shop
- Confirm food and beverage details – menu, seating arrangements, special dietary requests
- Bar requirements/Cocktail hour requirements
- Banquet setup – prize table, AV requirements
- Confirm registration area setup
- Confirm on-course details and requirements
- Confirm rental equipment details (golf clubs, etc)
- Send event details to participants – include directions, registration time, lunch and/or dinner time, dress code expectations, pertinent liquor law requirements
- Confirm on-site contact

Seven (7)  Days Before Event
- Forward player pairings list and handicap for scoring (if applicable)
- Forward corporate and/or group logo for use on GPS system
- Confirm any increase to banquet numbers

Two (2) Days Before Event
- Deliver all signage and other on-course materials

Event Day
- Relax and let Thundering Waters take care of the rest!
